Privacy Policy

This Privacy Policy explains how CozyRoam ("we") collects, uses and shares personal information when you visit cozyroam.us, book a rental, or contact us.
1. Information we collect
- Information you give us: name, email address, phone number, vehicle model and model year, rental dates and times, pickup, return and delivery addresses, offer or referral codes, and messages you send us.
- Payment information: payments are processed by Stripe. We do not see or store your full card number. We receive limited details from Stripe, such as the card brand, last four digits and payment status.
- Automatically collected information: basic technical data such as browser type, device type, pages visited and approximate location derived from your IP address. We do not use advertising cookies or track you across other websites.
- Records of your booking: order history, the version of our Terms you accepted and when, deposit status, and photos or notes about the condition of the Kit at handoff.
2. How we use information
We use personal information to process bookings and payments, place and release deposit holds, arrange handoffs and deliveries, send booking emails and reminders, provide customer support, run our offer and referral programs, prevent fraud and misuse, resolve disputes, keep business and tax records, and improve our website. With your separate consent, we send marketing emails such as coupons and updates.
3. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only with:
- Service providers that help us run the business, under their own privacy and security terms: Stripe (payments), Brevo (email), Cloudflare (website hosting and security), and Google Workspace (internal order records).
- People who carry out your handoff, who receive only the details needed for your pickup or return.
- Referral partners: a person or Turo host whose code you used sees only the number of completed referrals, not your name or contact details.
- Legal and safety reasons: when required by law, or to protect our rights, our property or the safety of others.
- Business transfers: if the business is reorganized or sold, information may transfer to the new owner under this Policy.
4. Your choices
- Marketing emails: unsubscribe at any time using the link in any marketing email. You will still receive emails about your bookings.
- Access, correction and deletion: email hello@cozyroam.us to ask for a copy of your information or to correct or delete it. We may keep records we need for tax, accounting, legal or dispute purposes.
- Do Not Track: our website does not respond to browser Do Not Track signals, because we do not track you across other websites.
5. How long we keep information
We retain booking, payment, refund and other business records for at least four years in the ordinary course, or longer when required by law or reasonably needed for an audit, claim or dispute. Handoff photos and condition records are generally kept until 120 days after the Deposit is settled; we may keep them longer while a claim, dispute or investigation is pending. Ordinary customer support records are kept only for as long as reasonably necessary to respond and maintain our service history. Marketing contact information is kept until you unsubscribe or we no longer need it for marketing; we may retain limited suppression information to honor your unsubscribe request. Privacy requests and consent records are kept as required by applicable law and as reasonably needed to document and respond to those requests and consents. When information is no longer needed, we delete or de-identify it, subject to applicable legal and operational requirements.
6. Security
We use reasonable safeguards, including encrypted connections and limited access to customer data. No system is completely secure.
7. Children
Our service is intended for adults. We do not knowingly collect personal information from children under 13. Renters must be at least 18.
8. California residents
This Policy is provided in line with the California Online Privacy Protection Act. California residents can contact us at hello@cozyroam.us with any privacy question or request.
